Privacy Policy for Northamptonshire Safeguarding Children Partnership
1. Who we are
1.1 This privacy statement provides details about the collection, usage, retention and protection of data which is held by the Northamptonshire Safeguarding Children Partnership (NSCP). The NSCP is committed to ensuring that your privacy is protected, in accordance with the Data Protection Act 2018 and the UK General Data Protection Regulation (UK GDPR).
1.2 The Children Act 2004 requires each Local Authority to establish a Safeguarding Children Partnership (SCP) for their area and specifies the organisations and individuals that should be represented within the Partnership. The key function of a SCP is to coordinate local work to safeguard and promote the welfare of children and to ensure the effectiveness of what the member organisations do individually and together.
1.3 The NSCP is made up of statutory members and the strategic partners are:
- West Northamptonshire Council
- North Northamptonshire Council
- Northamptonshire Police
- Northamptonshire Integrated Care Board (NICB)
- Northamptonshire Children’s Trust
1.4 All Partners act as joint data controllers for the data processed and may be shared between agencies as defined in our information sharing protocol.
1.5 NSCP provide training opportunities to key agencies and organisations that are part of the partnership.
2. The information that we hold:
2.1 We currently collect and process the following information:
- Your forename & surname.
- Your email address.
- Your contact number (Land line / Mobile).
- The name of the organisation that you work for.
- Health data – for reasonable adjustments for face-to-face training.
3. How the information is obtained
3.1 Most of the personal information we process is provided to us directly by you for one of the following reasons:
- When your sign up for training.
- Sign up to receive our newsletter.
3.2 Information may also be sourced from other organisations that are part of the NSCP.
4. Why do we need this?
4.1 We need this information:
- as you are involved in the work of the Safeguarding Partnerships.
- you have signed up to receive our newsletter.
- you have accessed training provided by the Partnerships.
5. What we do with the information
5.1 We will only use your contact details to fulfil the statutory requirements of the Safeguarding Partnerships including sending you details of:
- Information relating to the work of the Safeguarding Partnerships.
- Information/research regarding safeguarding.
- Details of meetings relating to Safeguarding Partnerships’ Business.
5.2 We do not use automated decision making for equalities processing. Automated decision-making is where decisions are made about you without any human influence on the outcome. These may affect your legal rights or have an impact on your circumstances, behaviour or choices.
5.3 There is no profiling undertaken in relation to equalities processing. Profiling is where you analyse parts of an individual’s personality, behaviour, interests and habits to identify their preferences, make predictions or decisions about them.
5. Why are we allowed to process your information?
5.1 Data protection law and article 6(1) UK GDPR allows us to process your information within certain conditions. In this case we are using a contract, our legal obligations or our official authority; or performance of a public task as the lawful condition for us to do this.
5.2 Under UK GDPR Article 9(2)(h) grounds, we are allowed to process health data for the purposes of preventive or occupational medicine, for the assessment of the working capacity of the employee, medical diagnosis, the provision of health or social care or treatment or the management of health or social care systems and services.
6. Who will we share this with?
6.1 Sometimes we need to share your information with others. We will only do this when it is necessary in order to offer you this service, or if we are required to do so by law. When it is necessary, we may share your information (work email address and contact) with individuals from other member agencies of the partnership and its subgroups to support business.
6.2 Information held to send out the NCSP newsletter, is only shared with the NCSP Team.
6.3 For information held to arrange training, delegate names could be shared with your own agency if they do not attend training and therefore incur a fee.
7. How will we keep it secure?
7.1 We will take all reasonable steps to prevent the loss, misuse or alteration of your personal information. Only the people who need to see your personal information will be allowed access to it.
7.2 Your information is securely stored on the council’s systems, in which the servers are UK based. We will not send your information outside of the UK.
7.3 We will securely dispose of your information in line with retention periods.
8. How long will we keep it for?
8.1 We will only keep this information for as long as necessary or as the law requires. For this service, we will normally hold your information for as long as you are associated with the work of the NSCP.
8.2 Where we have your contact details for sending you specific information such as our newsletter, we will only hold this while we have your consent. If you no longer want to receive any such communication, please use the contact details below to let us know or utilise the unsubscribe function at the bottom of the newsletter .
8.3 When signing up for training, you are required to provide brief details including your name and contact details, which will be retained to allow you to log in to our site to access future training opportunities.
9. Links to other websites
9.1 Our website may contain links to other websites of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. You should exercise caution and look at the privacy statement applicable to the website in question.
10. Your rights
10.1 The law gives you a number of rights to control what personal information is used by us and how we can use it. Please be aware that your rights may differ depending on the lawful basis for processing your personal data.
10.2 The right to withdraw consent - You can ask that we no longer use your details for this processing. If you wish to exercise this right, please contact the Data Protection Officer detailed in section 11.2 below.
